Why can't I issue this invoice?
Issuing an invoice records it in your accounts, so Sales Scribe checks a few things first. If issuing is blocked, the message tells you which one failed. Here are the common causes and fixes.
The invoice itself isn't ready
- "...has no line items. Cannot issue." Add at least one line before issuing.
- "...has zero or negative total. Cannot issue." The invoice must total more than zero. Check your lines, quantities and any discount.
- "...line(s) reference a product that has been deleted..." One or more lines point at a product that has since been removed. Remove or re-point those lines, then issue.
- Only drafts can be issued. If the invoice is already issued, voided or written off, there is nothing to issue.
Your accounting isn't set up yet
Issuing records entries to specific ledger accounts, so those accounts must be configured. You may see a message like "...your accounting configuration is incomplete. Please ensure AR Control Account, Sales Revenue Account, and Output VAT Account are configured..." or "Accounting settings not configured. Please go to Settings → Accounting...".
Fix: open Settings → Accounting and make sure the accounts it lists are chosen. At a minimum you need an AR control account, a default Sales account, and — if the invoice has VAT — an Output VAT account.
A stock item isn't set up to record its cost
If a line is a product that has a cost price and is a stock/resale item but is not set to record cost of goods sold, issuing is blocked to stop your profit being overstated.
Note: in this case the on-screen message may point generally to your accounting configuration rather than naming the product. So if issuing is blocked and your accounts otherwise look correctly set up, check your stock items as described here.
Fix: on each product, either enable Track inventory and For resale (so its cost is recorded correctly), or, if it is not really a resale item, remove its cost price. You may also need default Cost of Goods Sold and Inventory Asset accounts in Settings → Accounting.
The totals don't balance
Very occasionally you may see "...its accounting totals don't balance...". This points to an inconsistency between the lines, tax, or discount. Re-open the draft, check the figures add up, and try again. If it persists, note the reference and contact support.
