The customer account page
The Account page is a financial dashboard for one customer: what they owe, how overdue it is, their invoices, payments and credit notes, and quick access to statements. The customer's profile — contact people and addresses — lives on the customer's own page, one click away via the Contacts & Addresses button.
Before you begin
- Sign in with the correct Organization selected.
- Open the page for any existing customer.
Open the Account page
- Go to Contacts → Customers and select View Account (the document icon) in the Actions column.

What is on the page
Header — the customer's name, Status (Active / Inactive / Archived), email, phone and currency. The buttons at the top right are New Invoice, Record Payment, Contacts & Addresses (which opens the customer's profile page) and the Statements menu.
Financial Summary — headline figures in your organisation's currency:
Total Outstanding, and how many invoices make it up — what the customer owes as at today, exactly as the Aged Receivables report and the customers list show it. A credit note you have issued but not applied counts against it; if the customer is in credit, the figure is marked CR. An invoice dated after today is not owed yet, so it is not in this figure: it is shown underneath as "Plus … dated after today — not owed yet".
Overdue, and its invoice count — the part of Total Outstanding that is past its due date. A document due today is not overdue yet.
Invoiced This Year and Paid This Year — this calendar year
Lifetime Invoiced and Lifetime Paid — everything since your records began
If you moved your books to Sales Scribe, these figures count only what your records hold. Invoices brought across in your opening position are balances, not sales, so they are not counted as invoiced. Where a window starts before your records begin, the tile says records from 31 Mar 2026 only, with your date. Lifetime always does; this year does in your first year. See Move your books to Sales Scribe.
Credit Notes total and count
Unapplied Payments — money received but not yet matched to invoices
Avg Days to Pay — the customer's average payment speed
Credit Limit — if one is set on the customer record, with the amount still available (or how far over the limit they are). The exposure it is measured against is Total Outstanding plus any invoices dated after today, because those are commitments too. Creating or issuing an invoice past the limit warns, asks for confirmation, or blocks, per your Credit control setting.
Payment Terms — the agreed days-to-pay from the customer record, if set; new invoices derive their due date from it
Ageing Analysis — Total Outstanding split by how overdue it is: Current (not yet due, or due today), 1-30, 31-60, 61-90 and > 90 days. The bands are the same as the Aged Receivables report's, so the two always agree; an unapplied credit note sits in its own band as a negative amount.
Tabs — the lower half of the page is a set of tabs: Invoices, Payments, Credit Notes and Quotes & Estimates. The first three list the customer's documents:
- Invoices: Invoice #, Date, Due Date, Status, Total and Balance Due.
- Payments: Date, Method, Reference, Amount and what it was Applied To.
- Credit Notes: Credit Note #, Date, Status, Related Invoice and Amount.
Each row has a View action that opens the full document. Quotes & Estimates lists the customer's pre-invoice documents. Contact people and addresses are managed from the customer's profile page — see Customer contacts and Manage customer addresses.
Working from the page
- New Invoice starts an invoice already addressed to this customer.
- Record Payment starts a payment for this customer.
- Statements produces an account statement — see Send a customer statement.
Note: The organisation switcher in the top bar is disabled while you are on a customer's Account page, because switching organisation part-way through would not make sense. Leave the page to switch organisation again.
What happens next
The figures reflect your live records: issuing an invoice, recording a payment or applying a credit note updates the summary, ageing bands and lists the next time you open or refresh the page.
Troubleshooting
- The organisation switcher is greyed out. That is expected on this page. Leave it, and the switcher works again.
- A payment shows under Unapplied Payments. It has not been fully matched to invoices yet. Allocate it to bring down the customer's outstanding balance.
- The totals look wrong after a change. Refresh the page so the summary recalculates.
