Add a customer

A customer record holds everything Sales Scribe needs to bill someone: their name, contact details, preferred currency and addresses. You create a customer once, then reuse it on every invoice, quote, credit note and payment.

Before you begin

  • Sign in and make sure the correct Organization is selected in the top bar. Customers belong to a single organisation.
  • Have the customer's basic details to hand — at a minimum their company name, country, and the currency you will bill them in.

Add a customer

  1. Go to Contacts → Customers.
  2. Select New Customer (top right). The Add Customer window opens.
  3. Fill in the details. Fields marked with an asterisk (*) are required:
    • Company Name * — the customer's business or trading name.
    • Account Number — an optional reference of your own.
    • First Name / Last Name — the main contact person at the customer.
    • Email — used when you email invoices, statements and other documents to this customer.
    • Phone
    • Website
    • Tax ID — the customer's tax or VAT number.
    • Registration Number — the customer's company registration number.
    • Country * — choosing a country suggests a matching Currency and VAT Territory.
    • Currency * — the customer's preferred currency (see below). Defaults to your organisation's own currency.
    • VAT Territory — UK, Northern Ireland, EU or Non-EU. Sales Scribe suggests one from the country; you can override it.
    • Status — Active, Inactive or Archived. Leave a new customer as Active.
    • Make this your default customer — tick to pre-select this customer where a default is offered.
    • Notes — free-text notes, kept internal to your organisation.
  4. Select Save Customer.

What the preferred currency does

The Currency you choose is the customer's preferred (default) document currency. When you create a new invoice — or quote, estimate, credit note and so on — for this customer, Sales Scribe uses this currency as the document's default. You can still change the currency on an individual document before you add lines to it. Your organisation's own reports always stay in its home currency, whatever currency you bill a customer in.

Note: A new customer starts with no addresses or contact people. Add them afterwards from the Addresses and Contacts tabs on the customer's Account page — see Manage customer addresses and Customer contacts.

What happens next

The customer appears in Contacts → Customers and is immediately available to select on new invoices, quotes, payments and other documents. From the list you can open the customer's Account page, create an invoice, edit the record, or delete (archive) it.

Troubleshooting

  • "Company name is required" / "Country is required" / "Currency is required". These three fields are mandatory — complete them and save again.
  • "Invalid email address". Check the email is correctly formed (for example name@example.com).
  • Currency error. The currency must be a valid three-letter code; pick one from the Currency list rather than typing your own.
  • I can't see the customer in a list. Lists can be filtered. Clear any Status or Country filter, and untick Active Only if you set the customer to Inactive or Archived.
