Payments by customer report

The Payments by Customer report shows how much cash you actually received from each customer, based on when payments were allocated to their invoices. It is the cash-received view of your sales, and it pairs with the earned-revenue view in Revenue by Customer.

Before you begin

  • Sign in and select your organisation. The report is available on every plan.
  • Figures are shown in your functional currency.
  • The report is on a cash basis: it counts money as it is applied to invoices (by allocation date), from payments that have been Posted. Draft payments are not counted.

Open the report

Go to Reports and, under Sales, open Payments by Customer.

This report has its own controls rather than the shared period selector:

  • Filters card — choose a Customer (or All Customers), and a Start Date and End Date, then select Apply. Clear resets them.
  • Quick filters — All Time, This Month, Last Month and This Year.

How to read it

The summary cards show the Grand Total received, the number of Customers with Payments, and your Functional Currency.

The table lists one row per customer:

  • Customer — the customer name.
  • Account # — the customer's account number.
  • Total Paid — total cash allocated to that customer's invoices in the period, in your functional currency.
  • Allocations — how many individual allocations make up that total.
  • Last Payment — the most recent payment date.
  • Actions — a View Allocations button that opens the drill-down.

The Customer Allocations drill-down

Select View Allocations on a customer row to open Customer Allocations — a detailed list of every allocation making up that customer's total. You can narrow it with a Start Date and End Date. Each row shows:

  • Allocation Date and Payment Date
  • the Invoice the money was applied to
  • the Invoice Amount and Payment Amount (in the document currency)
  • the Functional value (in your functional currency)
  • a Reference
  • actions to View Payment or View Invoice

Use Back to Report to return to Payments by Customer.

Note: Because figures are grouped by allocation date, a payment you received but left unallocated ("on account") does not appear here until you match it to an invoice. To find unmatched money, use the Unallocated Items report.

Dates before your records begin

If you moved your books to Sales Scribe, payments received before your opening position are in the system you used previously:

  • If your dates end before your records begin, the report and the drill-down say Before your opening balances and show no figures. An empty table would suggest nobody paid you in that period.
  • If your dates start before your records begin, the Total Paid heading says records from 31 Mar 2026 only, with your date. All Time counts as starting before your records begin, so it shows the note too.

See Reports for dates before your opening position.

Currency

When a foreign-currency payment is allocated, Sales Scribe converts it to your functional currency for this report. If the exchange rate moved between invoicing and payment, the small difference is recorded automatically as a realised FX gain or loss — see foreign currency.

Export

Select Export CSV. The export respects the filters currently on screen, so you get exactly the customers, dates and search you are viewing.
