Set up bank, credit-card and cash accounts
Bank accounts are the heart of day-to-day bookkeeping in Sales Scribe. Each one represents a real account — a current account, a company credit card, or physical cash — and everything else in Banking builds on them: payments post to them, statements are imported against them, and reconciliation confirms your records match the bank's.
Before you begin
- Sign in and select your organisation.
- Anyone in the organisation can view the list; creating, editing or archiving accounts needs the manage chart of accounts permission.
- Your organisation starts with two accounts already set up, wrapping the standard chart's Bank and Cash on hand ledger accounts.
Open the screen
Go to Banking → Bank Accounts.

The list shows each account with its balance in your functional currency, taken directly from your general ledger — the same figure your reports use. A credit-card account shows a negative balance when you owe money on it.
Create an account
- Choose New bank account and pick the Type:
- Bank — a current or savings account.
- Credit card — a company card; behaves as money you owe.
- Cash — physical cash (a till or petty-cash box).
- Give it a Name (for example "Barclays Current"), and confirm the Currency.
- Optionally record the sort code, account number, IBAN and BIC for your own reference.
- Optionally enter an opening balance — what the account already held (or, for a credit card, what you owed) on the day your records begin. See Set a bank account's opening balance; you can also do this later from the account's page, as long as it has no other activity yet.
- Accept the suggested ledger account code or choose your own, and save.
Behind the scenes Sales Scribe creates a matching ledger account in your chart of accounts (an asset for bank/cash, a liability for a credit card) — that is where the actual postings live, so the new account works immediately everywhere money moves.
Edit, archive and restore
- Rename freely — the backing ledger account is renamed with it.
- The currency can only be changed while the account has no transactions; the type cannot be changed after creation.
- Archive an account you no longer use to hide it from Banking screens; restore it any time. Archiving never deletes anything — the ledger account and its history stay intact in the chart of accounts.
What uses your bank accounts
- Payment methods link to a bank account, so customer and supplier payments post to the right place.
- Spend Money and Receive Money record money moving directly in or out.
- Transfers move money between two of your own accounts.
- The account's Statements page is where you import bank statements and reconcile.
