Emailing a document failed
Sales Scribe sends invoices, quotes and other documents by email in the background: when you send, the email is queued and delivered a few moments later. If something goes wrong, here is how to tell and what to do.
Checking whether it sent
After you send a document, its email status is shown on the document. The statuses are:
- Pending — queued, waiting to be sent (usually only for a few seconds).
- Sending — being delivered now.
- Sent — delivered successfully (with the time).
- Failed — delivery didn't succeed. If it can still be retried automatically, it says so; otherwise a Resend option appears.
If a document still shows Pending long after you sent it, give it a moment and refresh — delivery runs on a short cycle.
Common causes and fixes
- "...has no email address configured." The customer or supplier you're sending to has no email address on record. Open their customer or supplier record, add an email address, and send again.
- The document isn't ready to send. You can only email an invoice once it has been issued (not while it is a draft), and a quote/estimate/proforma once it is being sent. Voided documents can't be emailed.
- "We couldn't prepare this email." This is an occasional preparation problem. Try again shortly; if it persists, note any reference code and contact support.
- It shows Failed. Use Resend. If it keeps failing, check the recipient's email address is correct.
Getting a copy yourself
When sending an invoice, you can tick the option to send yourself a copy. (This copy option currently applies to invoices; for other document types, send to your own address if you need a copy.)
