Manage customer addresses

A customer can hold any number of addresses — a head office, delivery sites, a registered office — each with its own Label and one or more purposes describing what it is used for. For each purpose, one address can be the default. Addresses are managed on the Addresses tab of the customer's Account page.

Before you begin

  • Sign in with the correct Organization selected.
  • You need an existing customer — see Add a customer.
  • Anyone who can view the customer can see its addresses; adding, editing and archiving them needs permission to edit customers.

Open the customer's page

  1. Go to Contacts → Customers.
  2. Select the customer's Company Name to open its page.
  3. The Addresses card sits below the Customer Information card, alongside Contact people. (From the customer's Account page, the Contacts & Addresses button at the top right brings you here.)

Each address is shown as a card with its label, the address itself and badges for the purposes it serves. A blue star on a purpose badge means this address is the default for that purpose.

Add an address

  1. Select Add address at the top of the card.
  2. Give the address a Label — a short name you will recognise, such as "Head Office" or "Warehouse".
  3. Complete the address lines, city, county/state/region, postcode and country.
  4. Tick one or more purposes: Billing, Delivery, Registered office, Correspondence or Other.
  5. Save.

The first address you give a purpose automatically becomes the default for that purpose, so a customer with a single address needs no further set-up.

Purposes and defaults

Purposes describe what an address is used for, and each purpose can have one default address. Default addresses determine which address Sales Scribe will propose for new documents.

To change a default, open the star menu on the address you want to promote and choose Make default for… — it lists the purposes this address holds but is not yet the default for. The star moves to this address; nothing else changes.

Edit an address

Select Edit (the pencil) on the address card to change its label, address fields or purposes.

Editing an address changes future documents only. Documents keep their own copy of the address as it was when they were created: issued documents never change, and an open draft shows "The customer's details have changed since this draft was created" with a Use latest details action rather than updating silently — see Edit a draft invoice.

Archive and restore

  • Archive (the box icon) hides an address you no longer use. Archiving never deletes anything.
  • Restore brings an archived address back.

Warning: Archiving an address clears any defaults it held, leaving those purposes with no default until you pick one. Restoring the address does not give the defaults back — use the star menu to set them again.

What happens next

Every change — adding, editing, archiving, restoring, and changes to purposes or defaults — is recorded in the organisation's audit trail.

Troubleshooting

  • A purpose has no default. Its default address was probably archived. Open the star menu on the address you want and choose Make default for….
  • A restored address has lost its defaults. That is expected — restoring does not reinstate defaults. Set them again from the star menu.
  • I can't see the Add address or Edit buttons. You do not have permission to edit customers — see Organisation roles and permissions.
