Close your account or delete an organisation

When you no longer need Sales Scribe — or one organisation within your account — you can close or delete with a 30-day safety window, and take a complete copy of your data with you at any point. This guide explains both flows, exactly what happens, and how to change your mind.

Before you begin

  • Closing the account requires the account Owner; you'll confirm your password.
  • Deleting one organisation requires an organisation administrator who is also an account Owner or Admin; you'll confirm your password and type the organisation's name.
  • Either way, consider downloading your data first — see Exporting your data.

Closing the whole account

Open your account overview and choose Close account.

  1. The page lists exactly what will happen. Selecting Schedule closure (after confirming your password) starts a 30-day window.
  2. The account becomes read-only immediately: you and your team can view everything but change nothing. A banner on every page reminds you and links to the cancel page.
  3. Any subscription is cancelled at the end of the current billing period — no further charges.
  4. Accountants' access to your organisations is suspended (they see this on their side straight away).
  5. Within the 30 days you can select Cancel closure and everything is restored — including your accountants' access. If your subscription was scheduled to end, renew it from the Plan page.
  6. After 30 days the account closes permanently. Personal data is anonymised at that point: customer and supplier person-details across your organisations, your billing contact details, and team members whose only membership was this account (see Erase your personal data). You can still sign in to download your data; financial records are retained (as the law requires) for 6 years and then deleted.

If you run an accountancy practice on this account, close the practice first — its clients and sponsorships need a managed handover, so account closure is refused while the practice is open.

What happens if I just stop paying?

If your subscription lapses and you do nothing, your data is kept for 12 months. We email you 30 days and again 7 days before that year ends; after it, the account enters the same closure pipeline above — with the same 30-day window as a final chance to keep it. Renewing your subscription at any point stops the clock.

Deleting one organisation

Open the organisation, then Settings → Delete organisation (you'll confirm your password on the way in).

  1. Type the organisation's exact name and select Schedule deletion.
  2. The organisation becomes read-only and disappears from your organisation switcher; its pages stay reachable by direct link during the window.
  3. Within 30 days you can select Cancel deletion on the same page.
  4. After 30 days the organisation is deleted and its customer and supplier person-details are anonymised; its financial records are retained for the statutory period and then removed.

Deletion is refused while:

  • an accountancy practice still has access — revoke it on Accountants & advisers first;
  • a practice sponsorship pays for this organisation's plan — it must end (or you take over billing) first;
  • it is the account's only organisation — close the account instead.
