Organisations and billing accounts
Sales Scribe keeps two ideas separate: your billing account (who pays and who has access) and your Organizations (the businesses whose books you keep). Understanding the difference makes members, plans and multi-company set-ups much easier.
The difference at a glance
A billing account holds:
- Your subscription (Starter, Pro or Enterprise) and free trial.
- Your payment method and billing profile.
- The members who can use it, and their billing-account roles.
- One or more organisations.
An organisation holds:
- Its own customers, suppliers, products, invoices and payments.
- Its own functional currency, tax settings and Chart of Accounts.
- Its own books, kept completely separate from every other organisation.
In short: the billing account is the container that pays for and grants access to a set of organisations. Each organisation is a self-contained set of books.
Example: An accountant might have one billing account on the Pro plan that contains three client organisations — each with its own currency, customers and reports — all invited members and one subscription.
The two switchers
Because there are two levels, the top bar lets you move around both.
The organisation switcher changes which organisation's books you are looking at. Selecting it lists your organisations under an Organization heading. See Switch between organisations.
The account switcher changes which billing account you are working under. In the same top-bar dropdown, a Billing account section shows your current account and a Switch Account option that opens the Select Account page. From there you can:
- See each account with your role, plan tier, and how many organisations and members it has.
- Select Switch to move into a different account, or Continue to stay in the current one.
- Use + Create new account to start another billing account (you become its owner). A new account starts empty: create its first organisation from the account's Overview with Create Organization, where you choose its country and base currency.
On desktop these two sections live in one combined menu. On a small screen the menu shows an Organization dropdown and a separate Switch account link.
Note: Switching organisation keeps you in the same billing account. Switching account changes which subscription, members and organisations you are working with.
Managing a billing account
The billing-account pages are grouped under Settings → Billing account in the left-hand menu (and in the account switcher):
- Account Overview — plan, status, and usage of users and organisations.
- Billing Profile — the contact and address details on your subscription.
- Members & Seats — the people in the account.
- Invitations — invite new people.
- Plan — choose or change your subscription.
Which of these you can open depends on your billing-account role.
