Manage members and access

Once people have joined your billing account you manage them on the Members & Seats page: activate or deactivate them, change their billing-account role, and control which organisations each person can work in.

Before you begin

  • You need the Admin or Owner billing-account role. Some actions are Owner only, as noted below.
  • Open Settings → Billing account → Members & Seats (also reachable as Manage Members from the Account Overview).

The page shows a Seat Usage card (how many of your plan's seats are in use) and a table of All Members with each person's Account Role, Status, number of Organizations and the date they Joined.

Deactivate or reactivate a member (seats)

Each active member uses one seat on your plan.

  • To free a seat, find the member and select the deactivate action (the person-with-cross icon), then confirm. A deactivated member keeps their history but can no longer sign in to the account, and their seat is released.
  • To restore access, select the reactivate action (the person-with-tick icon). This uses a seat, so it is blocked if you are already at your seat limit — deactivate someone else or upgrade first.

Note: The last remaining Owner cannot be deactivated.

Change a member's billing-account role

In the member's Account Role column, choose a new role from the dropdown and select the save button next to it.

Warning: Only an Owner can change roles. If you are an Admin the roles are shown as read-only, with the note "Owner required". The last owner is marked Protected and cannot be changed.

For what each role can do, see Billing-account roles.

Manage a member's organisation access

To control which organisations a person can work in, select the Manage organization access action (the key icon) on their row. This opens the Organization Access page for that member.

Grant access Under Grant Access to Organization, choose an Organization and select Grant Access. New access is added with the Read-only organisation role; set the role they should actually have on Settings → Members & roles (see below).

Revoke access Select Revoke next to an organisation and confirm. The member can no longer view or manage that organisation.

When a member already has access to every organisation, the page shows "This member has access to all organizations in this billing account." Their default organisation is marked with a Default badge.

Set a member's organisation role

Which organisations a person can reach is controlled here; what they can do inside an organisation is their organisation role (Owner, Administrator, Finance, Accountant, Sales or Read-only). Organisation roles are set on that organisation's Settings → Members & roles page, by an Owner or Administrator of the organisation (or a billing-account Owner/Admin). New members start as Read-only until you change them. See Organisation roles and permissions.

What happens next

Changes take effect immediately. A member you grant organisation access to will see that organisation in their switcher the next time they load the app; one you revoke loses it straight away.

Troubleshooting

  • I can't change someone's role. Only Owners can change billing-account roles. Ask an Owner, or have yourself promoted to Owner.
  • Reactivate is greyed out. You are at your seat limit. Deactivate another member or upgrade your plan.
  • A member can't see an organisation. Grant them access to it on their Organization Access page.
