Why can't I edit this invoice?
If you open an invoice and find you cannot change its lines, customer, or amounts, it is almost certainly because the invoice is no longer a draft. This is by design.
The reason
Only draft invoices can be edited. Once an invoice is issued it has been recorded in your accounts — it has increased your receivables, recorded revenue, and charged VAT — and it may already be with your customer. Allowing edits would change history, so Sales Scribe locks it.
You will see a message such as: "Invoice … cannot be edited because it has been issued. … To make changes, create a Credit Note or void the invoice and create a new one."
What to do instead
Choose the option that matches what you need:
- The invoice is wrong and hasn't been paid — void it and create a corrected one. (You cannot void it if it has payments or applied credit notes — remove those first.)
- You need to reduce or refund part of it — raise a credit note for the difference.
- You just need to record a payment or resend it — you can still do those on an issued invoice; only the invoice's own details are locked.
Other reasons editing may be blocked
- The invoice is voided. A voided invoice cannot be edited — create a new invoice if you need one.
- You want to change the currency. The currency can only be changed on a draft that has no lines yet — see The currency can't be changed.
- A colleague changed it. If you see "This record was changed by someone else", refresh and try again.
