Invoice design and branding

The Invoice Design page lets you control how your customer-facing invoices look — the template layout, your logo, the font, and your brand colours. You set it up once, and every new invoice (and credit note) you create uses it.

Before you begin

  • Anyone in your organisation can open Invoice Design and see the current design.
  • Only an Owner or Admin can change it. If you have another role, you will see the design and a note that only owners and administrators can edit it.
  • You do not need to finish designing before you start invoicing — new organisations begin with a sensible default design.

Open the Invoice Design page

Go to Settings → Invoice Design. (There is a Back to settings link at the top if you need to return.)

The page is split into two halves:

  • On the left — the controls: Template, Logo, Font & colours, and Template options, followed by the action buttons.
  • On the right — a live Preview that shows exactly what your invoice PDF will look like.

What you can change

Section What it does
Template The overall layout, shown as a set of cards. Select one to stage it. See Choose a template and colours.
Logo Upload your organisation logo. See Upload your logo.
Font & colours Pick a font and set your Primary colour and Secondary colour.
Template options Extra switches offered by the selected template (for example, show or hide certain details). Some templates have none.

Saving your design

Nothing you change takes effect until you save.

  1. Adjust the template, logo, font, colours, and options. The preview refreshes a moment after each change.
  2. When you are happy, select Save changes.
  3. You will see the confirmation "Invoice design saved. New invoices will use this design."

Other actions on the page:

  • Discard changes — undo your unsaved edits and return to the last saved design.
  • Download test PDF — download a sample invoice using your current (unsaved) settings, so you can check it in full.
  • Reset to default — return the whole design to the Sales Scribe system default (you will be asked to confirm).

Note: Saving only affects invoices you create from now on. Invoices you have already issued keep the design they were issued with — see How branding is applied and preserved.

What happens next

  • New draft invoices use your saved design straight away.
  • Credit notes use the same design, captured at the moment each one is issued.
  • Your logo and primary colour also appear on the emails you send and on the online page your customer views.

Important notes

  • Design is presentation only. It never changes invoice numbers, dates, amounts, tax, or your accounts.
  • If you are not an Owner or Admin, the editing controls are hidden and you can view the design only.
