Activity and audit history

The Audit Trail is a permanent, read-only record of what happened in your organisation — who did what, and when. It is useful for answering questions like "when was this invoice voided?" or "who changed that setting?", and for demonstrating good controls to an accountant or auditor.

Before you begin

  • You need to be signed in with an organisation selected. The audit trail shows events for your current organisation only.
  • Open it from Reports → Audit Trail in the left-hand menu.

What is recorded

Sales Scribe writes an audit event whenever something noteworthy happens — financial actions (such as issuing or voiding a document), configuration changes, security and access events, and data exports. Each event records:

  • When (UTC) — the date and time.
  • Event — the type of action.
  • Severity — how significant it is: Informational, Significant or Critical.
  • Outcome — whether it Succeeded, Failed or was Blocked.
  • Actor — the user who did it, or System for automatic actions.
  • Entity — the record it relates to (its type and reference).
  • Description and Reason — a short explanation.
  • GL event — a link to the related general-ledger posting, where the action affected your accounts.

Note: The audit trail is append-only. Entries cannot be edited or deleted — that is what makes it trustworthy as a history.

Filter the history

Use the filter bar at the top, then select Filter (or Clear to reset):

  • Event — pick a specific action type from the list.
  • Category — narrow to Financial, Configuration, Security, Access or Data.
  • Severity — Informational, Significant or Critical.
  • Entity id / reference — search for events about one particular record (for example an invoice number or reference).
  • From and To — limit to a date range.

The heading shows how many events match, and long results are split into pages (newest first). Use Previous and Next to move through them.

Common ways to use it

  • Track a document's history: put its number or reference in Entity id / reference to see everything that happened to it.
  • Review security events: set Category to Security or Access to see sign-in and permission-related activity.
  • Check a period: set From and To to review a specific week or month.
  • Spot blocked actions: look for a Blocked outcome, which shows where an action was prevented.

Troubleshooting

  • "Please select an organization first." The audit trail is organisation-specific — choose an organisation with the switcher, then reopen it.
  • I can't find an event I expected. Clear the filters (some may still be applied), widen the date range, and remember the trail only covers the organisation you are currently in.
  • An entry shows "System" as the actor. That action was performed automatically by Sales Scribe (for example an automatic status change), not by a person.
