Void a credit note
Voiding an issued credit note cancels it and reverses its effect on your accounts, while keeping a permanent record of both the original credit note and the reversal. Void a credit note when it was issued in error or is no longer needed.
You void an issued credit note. A Draft credit note is never voided — you simply delete it.
Before you begin
- The credit note must be Issued.
- It must not be applied to any invoice. See the warning below.
Steps
- Go to Sales → Credit Notes and open the issued credit note.
- Select Void.
- Enter a Reason for voiding — this is required and is kept with the record.
- Select Void Credit Note.

What happens next
- The credit note's status changes to Voided and it can no longer be edited or applied.
- A reversing entry is posted to your general ledger that exactly undoes the original credit note. In other words, the revenue, output VAT and accounts receivable amounts the credit note removed are put back.
- Both the original credit note and the reversal remain on record. Voiding cannot be undone.
Important notes
Note: You cannot void a credit note while it is still applied to an invoice. Remove each application first: open the credit note, and in its Credit Applications list select Unapply on every row. Once nothing is applied, you can void the credit note.
- Voiding is different from deleting. You delete a draft (which never affected your accounts); you void an issued credit note (which posts a reversing entry). See the Glossary entry for Void.
- To correct an issued credit note, void it and create a new one with the right details.
Troubleshooting
- "This credit note cannot be voided because it is …" — Only Issued credit notes can be voided. A draft should be deleted instead; a credit note that is already voided cannot be voided again.
- The void is blocked because the credit note is applied. — Remove each application first (use Unapply in the Credit Applications list), then void. If voiding still fails with a generic message and a reference code, note the reference and contact support. See I see a generic error with a reference.
