Erase your personal data

You can permanently erase the personal data Sales Scribe holds about you as a person — without breaking the business records of the organisations you worked in. This guide explains what erasure does, when it is refused, and what organisation administrators can do for customer and supplier contacts.

Before you begin

  • You need to be signed in; you'll confirm your password.
  • Erasure is permanent and cannot be undone, and you are signed out immediately and cannot sign in again.
  • If you just want to leave a team but keep your account, ask an administrator to remove you as a member instead.
  • Consider downloading your data first if you are also winding down an organisation you own.

Erase your own personal data

Open Profile & security, select the Personal data tab, then Erase Personal Data.

The page shows exactly what will happen before you confirm:

What is erased

  • Your name, email address, phone number and profile details are replaced with an anonymous token that cannot be traced back to you.
  • Your password, sign-in sessions and remembered browsers are invalidated everywhere.
  • Your name and email are removed from activity history, invitations and team records.
  • You are removed from every organisation, account and practice you belong to.

What is kept, and why

  • Business records you created (invoices, payments, journals) are kept for the organisations that own them — the law requires it — but they no longer identify you.
  • Issued invoices and their archived PDFs are legal documents and keep their content unchanged until their statutory retention period ends.

When erasure is refused

The page refuses — and names the remedy — while:

  • you are the only active Owner of a billing account that isn't closed. Transfer ownership to another member, or close the account first;
  • you are the only owner of an accountancy practice. Transfer ownership to another practice member, or close the practice first.

What happens at account closure

When a whole account closes, personal data is erased automatically at the end of the 30-day window: every organisation's customer and supplier person-details are anonymised, the billing contact details are cleared, and users whose only membership was in that account are erased exactly as above.

Erase a customer's or supplier's personal data (administrators)

If a customer or supplier asks you to erase their personal data, an organisation administrator can do it per record:

  1. Open the customer or supplier from its list page.
  2. On the details page, select Erase Personal Data (you'll re-confirm your password).
  3. The confirmation page lists what is erased (contact people, emails, phone numbers, addresses, tax identifiers, personal references in the change history) and what is kept (the company name, the financial history, and issued documents with their archived PDFs until statutory retention ends).

This needs the organisation settings permission and cannot be undone.
