Upload your logo

Adding your logo puts your brand on your invoices, credit notes, the emails you send, and the online page your customer views. You upload it once on the Invoice Design page.

Before you begin

  • You need to be an Owner or Admin to upload or change the logo.
  • Have your logo file ready as a PNG, JPEG, or WebP image.

Accepted files

  • Formats: PNG, JPEG, or WebP.
  • Size: up to 5 MB per image.
  • Recommended: at least 300 pixels wide so it stays crisp. Very small images, or ones with an extreme width-to-height ratio, may trigger a warning.

Steps

  1. Go to Settings → Invoice Design.
  2. In the Logo card, select the file chooser and pick your image.
  3. The logo uploads and a preview appears in the card.
  4. Select Save changes to keep it. (The upload happens immediately, but as with every other setting on this page, it becomes part of your saved design only when you save.)

How your logo appears

  • On the PDF invoice, your logo sits in the template's logo area. Each template decides where that is.
  • On invoice emails and the online invoice view, it appears in the branded header.
  • Replace: upload a new file the same way. The new logo takes over once you save.
  • Remove: select Remove logo, then Save changes. Templates still look correct without a logo.

Note: When you replace or remove a logo, invoices you have already issued keep the logo they were issued with. Changing the logo never alters an existing issued invoice or credit note. See How branding is applied and preserved.

What happens to your file

Your image is processed and re-saved by Sales Scribe when you upload it (this cleans and optimises it), and it is then served from within the app. You do not need to host the image anywhere yourself.

Troubleshooting

  • "The logo could not be processed." — the file was not a valid PNG, JPEG, or WebP, or it was too large. Re-save it in one of those formats, under 5 MB, and try again.
  • A warning about size or shape — your image was accepted but is small or an unusual shape. Consider a wider image (300 pixels or more) for a sharper result.
  • No file chooser / everything greyed out — you are viewing the page without edit rights. Only an Owner or Admin can change the logo.
