Billing-account roles

Everyone in a billing account has a billing-account role. Unlike organisation roles, these roles are enforced: they decide who can manage members and invitations, who can change the subscription, and who can edit the billing profile. They are separate from organisation roles, which apply inside each set of books.

The four billing-account roles

  • Owner — full control of the account, including the plan, the billing profile, members and their roles. An account always keeps at least one owner.
  • Admin — manages the account day to day: invites people, activates and deactivates members, and views the plan. An Admin cannot change other members' roles.
  • Billing — intended for a finance contact who looks after payment: can view the account and edit the billing profile and start a plan upgrade, without managing members.
  • Member — a regular user who belongs to the account and works in the organisations they have been granted access to.

Note: Only an Owner can change another member's role, and the last remaining Owner cannot be demoted or deactivated — this makes sure an account always has someone in control.

The last owner is protected

On the Members & Seats page, the last owner is marked as protected and cannot have their role changed or be deactivated. To hand over an account, promote another member to Owner first, then change or remove the original owner.

Billing roles and organisation roles

Your billing-account role governs the account. What you can do inside an organisation is set separately by your organisation role.

There is one deliberate bridge between the two: a billing-account Owner or Admin can also administer an organisation's members and roles — assigning any organisation role, including Owner — even without holding an org-admin role themselves. This lets an account manager set people's roles and recover an organisation that has been left with nobody able to administer it. It covers user and role administration only; it does not grant the day-to-day operational access (creating or voiding documents, and so on) inside an organisation.
