Reconcile your bank account

Reconciliation is the habit that keeps your books trustworthy: line by line, you confirm that every transaction on your bank statement is explained by something recorded in Sales Scribe. When the statement is fully matched, you know your records are complete — nothing missed, nothing double-entered.

Before you begin

  • Import a bank statement for the account first.
  • Anyone can view; matching and excluding needs the manage chart of accounts permission.
  • Matching only links records together. It never posts to your ledger.

Open the reconcile screen

From the account's Statements page, choose Reconcile. Unmatched statement lines are listed — search, sort, and page through them (50 per page); the header shows how many remain.

Match a line

For each statement line, Sales Scribe suggests transactions that could explain it. Candidates must point the same direction (money in vs out), sit on the same bank account, match the amount exactly, and fall within 7 days of the statement date. Four kinds of transaction are offered:

  • Spend Money (money out) and Receive Money (money in),
  • supplier payments (money out) and customer payments (money in) — see Reconcile payments with bank statements for the payment-specific rules, including foreign-currency payments.

Pick the right candidate and choose Match. Each transaction can be matched to only one statement line, so a matched transaction stops being offered elsewhere.

Matched the wrong thing? On the Statements page, use Unmatch on the line — both sides become available again.

When there is no match yet: create from the line

If a statement line is real but you never recorded it — a forgotten card payment, bank interest — use the line's Create option. It opens a pre-filled Spend Money or Receive Money form (bank account, date, description and gross amount already entered, VAT-inclusive switched on). Post it and the new transaction is matched to the line automatically.

Note: if you change the amount before posting so it no longer equals the statement line, the transaction still posts, but the line stays unmatched — a warning tells you so.

Exclude the noise

Some lines will never have a matching transaction and shouldn't block you finishing — use Exclude to set them aside, and Restore if you change your mind. A matched line must be unmatched before it can be excluded.
