Choose a template and colours
Your template sets the overall layout of your invoice; the font and colours give it your brand look. You choose all of these on the Invoice Design page and check the result in the live preview before anything goes live.
Before you begin
- You need to be an Owner or Admin to change the design. Other roles can look but not edit.
- Go to Settings → Invoice Design.
Choose a template
The Template section shows the available designs as cards, each with a thumbnail, a name, and a short description. The one currently in use is marked Selected.
- Select a card to stage that template. The preview on the right updates to match.
- Selecting a template does not publish it — it is staged until you save.

Pick a font
In Font & colours, use the Font dropdown. You can leave it on Template default (the font the template was designed with) or choose one of the listed fonts. Each option shows the font name and whether it is a serif or sans-serif style.
Set your colours
Each template uses two brand colours:
- Primary colour — the prominent, headline elements.
- Secondary colour — supporting elements and shading.
For each, you can either use the colour picker or type a six-digit hex code such as #1F4E79. Select Reset colours to template defaults to return both colours to the ones the selected template ships with.
Note: If a colour combination would be hard to read, the preview shows a warning above it. You can still save, but it is worth choosing colours with enough contrast so every figure on the invoice stays legible.
Template options
Some templates offer extra switches in the Template options section — for example, showing or hiding particular details. If the selected template has none, you will see "This template has no extra options."
Check it in the preview
The right-hand Preview is a rendering of the actual invoice PDF, so what you see is what your customer will get.
- It refreshes automatically a moment after each change.
- Use the dropdown at the top of the preview to switch the sample data between a built-in Sample invoice and one of your own Draft invoices.
- Select Download test PDF to save the preview as a PDF and review it in full.
Save your choices
Nothing is applied until you save.
- Select Save changes to publish the template, font, colours, and options.
- To abandon your edits, select Discard changes.
You will be warned if you try to leave the page with unsaved changes.
What happens next
New invoices and credit notes use the saved template, font, and colours. Documents you have already issued are unaffected — see How branding is applied and preserved.
Troubleshooting
- The preview says it could not be generated — this is temporary and your settings are not lost. Adjust a control to trigger a fresh preview, or reload the page.
- A hex code will not stick — colours must be a valid six-digit hex value (for example
#5B7A99). Anything else is ignored and the previous colour is kept. - Save is greyed out — either you have no unsaved changes, or you do not have Owner/Admin rights.
