General Ledger report
The General Ledger shows every journal line Sales Scribe has posted to your books for a period, grouped by ledger account with an opening and closing balance per account. It is the full audit trail behind every other financial report: if a figure on the Profit & Loss or Balance Sheet looks surprising, this is where you trace it to the documents that produced it.
Before you begin
- Sign in and select your organisation. The report is available on every plan.
- Figures are shown in your functional currency, exactly as captured on each journal line at posting time (foreign-currency documents were converted using the rate locked on each one).
- Only posted entries appear — drafts never do. A voided document shows as its original posting and its reversal, so the pair nets to zero.
Open the report
- Go to Reports and, under Financial, open General Ledger.
- Choose a period with the Reporting Period selector (a preset such as This quarter, or a custom From/To range).
How to read it
Each ledger account with any activity or balance gets its own section:
- Opening balance — everything posted to the account before the period start. If the period starts before your records on Sales Scribe begin, the opening balance is the position when they begin, labelled at 31 Mar 2026, when records begin, and the lines run from the day after. The journal that set up your opening position is part of that opening balance, not a line of the period. See Reports for dates before your opening position.
- One row per journal line: the date, the source document (linked — click through to the invoice, bill, payment or journal that posted it), the memo, the debit or credit, and the running balance.
- Closing balance — with the period's total debits and credits alongside.
Balances follow each account's normal direction: asset and expense accounts are debit-normal (debits increase the balance); liability, equity and income accounts are credit-normal. The header of each section reminds you which applies.
Click an account's name to open the single-account Account Transactions drill-down for the same period.
Export
Select Export CSV to download every account's opening balance, lines and closing balance in one file, with the standard header block recording the organisation, basis, period and currency.
The header block also carries a Reading row stating the sign convention: each account is shown in its own normal direction, so a debit balance on a credit-normal account shows as negative. Check it before reconciling this file against an export that uses a different convention — the loan account statement, for instance, states everything as due from the person.
