What is Sales Scribe?

Sales Scribe is online invoicing and accounting software for small and medium businesses, bookkeepers and accountants. You raise the documents you already use every day — invoices, quotes, purchase orders — and Sales Scribe keeps the books behind the scenes, so your reports are always up to date without any manual bookkeeping.

This article gives you the big picture. The rest of the help centre then walks you through each task in detail.

What you can do

Sell and get paid

  • Raise sales invoices and send them to customers as a PDF with a secure view link.
  • Issue credit notes to correct an invoice or give a customer credit — for returned goods, an over-charge or goodwill.
  • Send quotes, estimates and proforma invoices that customers can accept or decline online, then convert an accepted one into an invoice.
  • Keep a list of customers, each with their own addresses, preferred currency and running balance.

Note: In this version, customers view and download their invoice online and pay you using the bank details or payment instructions shown on it. There is no online card payment for customer invoices.

Buy and track what you owe

  • Raise purchase orders, record goods received notes and delivery notes, and enter the purchase invoices (bills) your suppliers send you.
  • Issue purchase credit notes and record supplier payments.
  • Keep a list of suppliers with the same address and currency features as customers.

Record payments

  • Record money received from customers and paid to suppliers, then allocate each payment to the specific invoices it settles. A payment can sit unallocated ("on account") until you match it.

Work in more than one currency

  • Each organisation keeps its books in a single functional currency (its home currency). Individual documents can be in a different currency, and Sales Scribe stores the exchange rate on each document and works out any realised exchange gain or loss for you when a foreign-currency invoice is paid.

Let the accounting happen automatically

  • Every action that has a bookkeeping consequence — issuing an invoice, posting a bill, recording a payment — is turned into a balanced double-entry record in your general ledger automatically. You never post journals by hand.

See how the business is doing

  • Built-in Reports include Profit & Loss, VAT Summary, Revenue by Customer, Payments by Customer and Supplier, Aged Receivables, Aged Payables and Unallocated Items. Your Dashboard shows outstanding, overdue and recently received amounts at a glance.

How Sales Scribe is organised

Organizations An Organization is a single business whose customers, suppliers, products, invoices and books are kept together and separate from every other organisation. You choose each organisation's functional currency, tax settings and chart of accounts. (The application shows this with the American spelling "Organization".)

Billing accounts A billing account holds your subscription, your payment method and the people who can use it. One billing account can contain several organisations. You switch between organisations, and between billing accounts, from the top bar.

Subscription tiers Your plan level — Starter, Pro or Enterprise — is held on the billing account and decides which features and limits you have. New accounts begin with a free trial.
